Print to PDF on Windows 11, and bring it back when it is missing

Press Ctrl+P in any app, choose Microsoft Print to PDF as the printer, press Print, then pick a folder and a name in the Save Print Output As window. If that printer is missing, press Windows+R, type optionalfeatures, tick Microsoft Print to PDF and press OK. Printing keeps the text but drops clickable links and bookmarks, so use an app’s own Save as PDF where there is one. Microsoft Print to PDF is a printer that writes a file instead of using paper. Every app that can print can use it, which makes it the route for programs with no PDF option of their own: an old accounting program, a booking app, a text file in Notepad. Three printouts rarely stay 3 files for long, so the merge is right here:

How do I print to PDF on Windows 11?
- Open the document in the app it belongs to.
- Press Ctrl+P, or choose File, Print.
- Choose Microsoft Print to PDF in the Printer list.
- Set the paper and orientation (next section) and the pages, if you want only some.
- Press Print. The Save Print Output As window opens.
- Pick a folder, type a name, press Save. Nothing appears on screen when it is done; the file is just there.
Name the file in step 6. The window offers the folder it used last, and “Untitled.pdf” in Documents is where many lost PDFs end up.
Where do I set A4 or Letter?
In the print dialog, before you press Print. Depending on the app, Paper size sits under More settings, or behind a Preferences or Properties button next to the printer. A4 is standard in Austria and most of the world, Letter in the US and Canada. The size you pick is baked into the PDF: a Letter PDF printed on A4 paper later gets a strip of white at the bottom or a shrunken page. Orientation (Portrait or Landscape) is in the same place; landscape helps a wide spreadsheet or a log with long lines.
Microsoft Print to PDF is missing: how do I get it back?
It is a Windows feature that can be switched off, removed by an IT policy, or lost in an update. Restore it in 3 steps:
- Open Windows Features. Press Windows+R, type
optionalfeaturesand press Enter. Or go through Settings, System, Optional features, and choose More Windows features under Related settings. (On some builds the page sits under Apps instead of System; on Windows 10 it is Control Panel, Programs, Turn Windows features on or off.) - Tick Microsoft Print to PDF and press OK.
- Restart if Windows asks, then press Ctrl+P in any app and look for it in the Printer list.
Ticked, but still not in the list? Untick it, press OK, restart, then tick it again. That reinstalls the printer. In 2025, an update for Windows 11 version 24H2 broke the printer on some PCs, and Microsoft fixed it in a later update; installing the current updates (Settings, Windows Update) is part of the fix. On a work laptop, the feature may be switched off on purpose; ask IT before working around it.
Print to PDF or the app’s own export?
Printing makes a picture-perfect copy of the pages and nothing more. With Microsoft Print to PDF:

So when the app has a real export, use it. In Word that is File, Save a Copy, PDF (the Word to PDF guide has the options). In Chrome and Edge, set the destination to Save as PDF rather than Microsoft Print to PDF: the browser’s own PDF keeps links clickable, as the web page guide shows. Print is for everything else.
How do I check that the text is real text?
Open the PDF and try to select a word. If it highlights, the text is real: it can be searched, copied and read aloud. If the whole page selects as 1 block, an old app printed it as a picture. That PDF can still be sent, but nobody can search it; OCR PDF adds a text layer, on your device.
After printing: combine, reorder, shrink
Each tool runs in your browser on your device, and nothing is uploaded. Use a tool once, turn Wi-Fi off, and it still works.
- Combine the printouts with the merge tool above. Each file gets its own bookmark if Bookmark per file is on, which puts back a little of the navigation printing took away.
- Reorder, turn or remove pages with Organise PDF: Up and Down move a page, Reverse the order fixes a stack printed back to front.
- Shrink it for a mail or portal limit with Compress PDF. A printed text document is already small; this matters when it holds photos.
Where print to PDF stops
It is a printout. It cannot keep links or headings, it cannot create form fields, and it prints only what the app puts on paper (a spreadsheet’s hidden columns stay hidden, a web app may print 1 screen). getPDF does not replace it: we have no converter from Word, web pages or other formats yet, only the tools that work on the PDF afterwards.
